Recording Vacation Information


We need to record those times when volunteers will be away or are otherwise unable to provide services for members.  

The natural place to obtain this information is when a volunteer is on the phone or calls back indicating that they cannot perform a service.  
 
When a volunteer is on the phone, you can get to the calendar information from the service request form on the line next to the volunteer's name.
 
When a volunteer calls back, the natural screen to bring up is the Open Provider Requests screen to record the result of the conversation with the volunteer.  
 
If a volunteer indicates that they will be away, Select the Calendar Icon. This brings up the "vacation" calendar for the volunteer.   
 
There are two ways to enter vacation data.  Either select the first and last dates and then select "Not available".  Alternately click on one or more dates on the calendar.  The volunteer may have information relating to their weekly schedule.  To enter this information, use the clock icon for the  "Availability" screen.  Select the top left drop down, to set the entire schedule.  Select the top of a day column to set the schedule for the entire day.  Or, select an individual time slot and set the availability level.  Typically, the volunteer says they are "not available" for some portion of a given day, due to another commitment.  That period is set to "Not Available".
